Administrative Assistant/Receptionist at Midtown Wealth Management Firm --5x a week onsite

Our client, a rapidly growing wealth management firm, is seeking an Administrative Assistant / Receptionist to provide onsite administrative and operational support to clients, colleagues, and a team of Advisory VPs. This is a highly visible, front-facing role that requires strong interpersonal skills, attention to detail, and the ability to operate effectively in a fast-paced, client-focused environment.

The ideal candidate is polished, proactive, and service-oriented, with the ability to manage competing priorities while maintaining a high level of professionalism and discretion. This role requires someone who is a strong team player, comfortable collaborating across departments, and eager to contribute to both day-to-day operations and broader firm initiatives.

RESPONSIBILITIES:

  • Greet visitors, answer incoming calls, and provide a high level of service to clients and employees
  • Manage conference room calendars, scheduling, and meeting setup
  • Provide comprehensive administrative and operational support to the team
  • Manage calendars in Outlook, ensuring effective scheduling and prioritization
  • Coordinate internal and external meetings, including videoconferencing and catering
  • Arrange domestic travel including flights, hotels, and transportation
  • Prepare and submit expense reports using Concur
  • Partner with senior leaders to stay ahead of meetings, commitments, and deliverables
  • Track tasks and workflows through to completion
  • Collaborate with hospitality and administrative teams on events, lunches, and firm initiatives
  • Assist with special projects and provide support to additional offices as needed

REQUIREMENTS:

  • 1+ years of experience in an administrative or receptionist role preferred
  • Ability to work onsite Monday–Friday, 8:30am–5:00pm
  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint); Concur and DocuSign a plus
  • Excellent interpersonal and organizational skills with a polished, professional demeanor
  • Strong written and verbal communication skills with high attention to detail
  • Ability to handle confidential information with discretion
  • Team-oriented with a proactive, solutions-driven mindset
  • Comfortable working in a fast-paced, client-facing environment
  • Flexible with occasional overtime as needed

HOURS:
8:30am–5:00pm
Fully onsite, Monday–Friday

SALARY:
$70K–$80K base (DOE) + discretionary bonus + comprehensive benefits package including health, dental, vision, 401K, wellness perks, and generous PTO
