Our client, a high profile real estate investment firm based in Fort Lee, NJ is looking to hire an Executive/Personal Assistant to support an UHNWI and family in an office of 20. The successful candidate must be patient, well spoken, skilled, impeccably polished and have the ability to work with a demanding executive. This person will work alongside with another EA. The position requires at least 5+ years of administrative experience post-graduation and strong skills. The candidate must have strong technical skills as this role will include sending emails on executive’s behalf. Candidate must have strong skills and ability to manage up and have a thick skin.
This role is 5x days/wk in-office.
RESPONSIBILITIES
- Scheduling and calendar management
- Handle travel planning including airline reservations, hotel accommodations, car rental reservations, car service arrangements and driving directions as needed
- Process and track expense reports and reimbursements
- Produce letters, memoranda, presentations, reports, etc. as necessary
- Dial in on executive’s calls and take notes
- Write emails on the executive’s behalf
- Proofread documents for appropriate grammar, punctuation and spelling
- Assist in presentation preparation
- Performing ad hoc projects as needed
- Personal work for the family, as needed
- Ability to work with the executive being back and forth from Florida/NJ
REQUIREMENTS
- Minimum of five years of corporate administrative experience
- College degree preferred or equivalent experience
- Experience working in local city politics would be a plus
- Ability to be successful in a fast paced work environment and professionally interact with senior management
- Must have superior technical skills in MS Office Suite
- Knowledge and experience working with automated expense tracking, travel etc.
- Superior organizational skills; detail oriented
- Ability to work with confidential and sensitive material
- Excellent time management skills; ability to handle multiple concurrent assignments, with a high degree of accuracy, and meet deadlines in a high pressure environment
- Self-starter with the ability to work independently and with minimal guidance
- Strong interpersonal and communication skills
SALARY
DOE + discretionary bonus + benefits
HOURS
10/10:30am-6/6:30pm + flexibility for OT as needed
Monday-Friday in-office.
