Executive/Personal Assistant to a High-Profile Principal in Fort Lee, NJ

Our client, a high-profile Principal, is seeking a seasoned Executive/Personal Assistant to support him across all facets of his personal, philanthropic, and professional life. This role sits within a small, tight-knit team of three and requires a highly polished, patient, and resourceful individual who is comfortable operating in a fast-paced, high-touch environment. The ideal candidate will have at least 10+ years of experience supporting a senior executive, exceptional communication skills, and the ability to manage a complex, ever-changing schedule. This role is 5x days/week in-office, with the Principal working remotely and based between New York and Florida.

RESPONSIBILITIES

  • Manage heavy phones, ensuring seamless communication between the Principal across multiple locations (NY, Florida, and international travel)
  • Handle extensive calendar management, including frequent updates and distribution of weekly schedules to the Principal, family, and staff
  • Coordinate all travel arrangements including commercial flights, charters, trains, drivers, and accommodations (hotels, private homes, villas)
  • Draft and manage all correspondence including emails, letters, invitations, and philanthropic outreach
  • Maintain a detailed daily log of calls, meetings, and key activities
  • Support philanthropic initiatives and special projects, including art collection organization and external partnerships
  • Interface regularly with household staff, including the Florida team, to ensure continuity and communication
  • Coordinate medical appointments, maintain records, liaise with doctors and pharmacies, and track ongoing care
  • Monitor incoming mail, invoices, and credit card statements, flagging any discrepancies to the appropriate parties
  • Maintain and organize both digital and physical filing systems
  • Assist with distribution of Op-Eds and coordination with external vendors (e.g., website team)
  • Handle ad hoc projects and personal tasks as needed

REQUIREMENTS

  • Minimum of 10 years of experience supporting a senior executive in a fast-paced environment
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Exceptional written and verbal communication skills
  • Ability to manage complex scheduling and high-volume communication with discretion and professionalism
  • Highly organized, detail-oriented, and proactive with the ability to anticipate needs
  • Strong interpersonal skills with a polished, calm, and patient demeanor
  • Ability to work both independently and collaboratively within a small team
  • Comfortable handling confidential and sensitive information
  • Flexible and adaptable to an ever-changing environment
  • Bachelor's degree required

SALARY
DOE + discretionary bonus + benefits

HOURS
10/10:30 AM – 6/6:30 PM (flexibility required for after-hours and occasional weekend communication)
Monday–Friday, 5 days/week in-office
