Administrative Assistant to Team at Dynamic Investment Firm in Midtown (Hybrid)

New York, NY

Our client, a dynamic investment firm, is looking for an Administrative Assistant to provide executive support to members of their team. The candidate will collaborate closely with other administrative staff, supporting team initiatives and ensuring seamless day-to-day operations. This is an amazing opportunity to join a highly reputable group with an excellent culture! This role is in office 4x/week.

RESPONSIBILITIES:

  • Manage complex calendars, proactively resolving conflicts and adjusting schedules; maintain consistent communication to keep professionals organized and on track
  • Coordinate internal and external meetings across multiple time zones, prioritizing effectively and taking initiative
  • Schedule, confirm, and reschedule appointments; track all key meeting details
  • Coordinate meeting logistics with office operations team; arrange catering as needed and coordinate IT resources (Zoom/Teams)
  • Maintain and organize documents within shared drives
  • Prepare presentations and other materials, including copying, scanning, and binding; conduct research 
  • Book travel arrangements
  • Provide back-up support to other administrative team members as needed
  • Partner with team admins on team-wide meetings, events, document management
  • Assist with additional projects and responsibilities as needed

REQUIREMENTS:
  • 3–5 years of professional experience in an administrative support function, within finance is a plus!
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
  • Detail-oriented, highly organized, and proactive
  • Excellent written and verbal communication skills
  • Strong problem-solving skills with sound judgment and adaptability
  • Excellent time-management skills with the ability to manage multiple priorities simultaneously
  • High level of discretion and ability to handle confidential information
  • Resourceful with a strong sense of ownership
  • Calm under pressure in a fast-paced environment
  • Highly responsive with strong follow-through
  • Bachelor’s degree required


SALARY:
$100-$120K (DOE) + Discretionary Bonus + Benefits + 401K / contribution + great PTO + Perk!

HOURS:
8:30am-5:30pm w/ flexibility. In office 4 days per week.
