Executive and Personal Assistant to support CEO of Renowned Finance Firm in Midtown (5x a week in office)

Our client, a leading investment firm based in Midtown Manhattan, is seeking an exceptionally experienced and polished Executive Assistant to support the firm’s Founder/CEO. This is a highly visible and demanding role supporting a dynamic founder in a fast-paced financial environment where discretion, judgment, and execution at the highest level are essential.

The position will operate within a two-Executive Assistant partnership model, working closely alongside the Founder’s current EA to manage the significant volume and scope of support required. The two assistants will collaborate daily, dividing responsibilities and ensuring seamless coverage across all aspects of the executive’s professional and personal commitments.

The ideal candidate will bring extensive experience supporting a Founder or CEO within financial services and will be comfortable operating in a high-intensity, high-exposure role that requires exceptional organization, flexibility, and a 24/7 mindset.

This role requires someone with deep CEO/founder-level support experience, a calm and confident presence, and the ability to operate as a true extension of leadership. Candidates must be comfortable partnering closely with another senior EA and working in a highly collaborative support structure.

This position is based in-office five days per week in Midtown Manhattan.

RESPONSIBILITIES:

Executive Partnership & Support:

  • Serve as a trusted partner to the Founder/CEO, ensuring day-to-day priorities and initiatives are executed seamlessly

  • Work closely with the Founder’s existing EA to divide responsibilities and ensure consistent coverage

  • Anticipate needs and proactively manage logistics, priorities, and follow-ups

  • Act as a gatekeeper to protect the executive’s time and manage the flow of information with discretion and sound judgment

Calendar & Scheduling:

  • Manage an extremely complex, ever-changing calendar across multiple time zones

  • Prioritize competing demands while ensuring alignment with key internal and external stakeholders

  • Anticipate upcoming commitments and prepare materials and logistics in advance

Travel Coordination:

  • Coordinate extensive domestic and international travel, including multi-leg itineraries, ground transportation, and real-time adjustments

  • Ensure all travel details are executed seamlessly and proactively manage changes as needed

Communication & Correspondence:

  • Draft and manage correspondence, emails, and documents on behalf of the executive with precision and professionalism

  • Interface with internal teams, senior leadership, investors, and external partners on the executive’s behalf

Operational & Administrative Support:

  • Handle expenses, reimbursements, and administrative logistics

  • Assist with special projects and high-priority initiatives as needed

  • Maintain the highest level of discretion and confidentiality at all times

REQUIREMENTS:

  • Must come from financial services (hedge fund, private equity, asset management, investment banking, or similar)

  • 10–15+ years of experience supporting a Founder, CEO, or senior investment leader

  • Proven experience supporting high-demand founders or CEOs in fast-paced environments

  • Strong longevity in prior roles with demonstrated stability and commitment

  • Comfortable operating with a 24/7 availability mindset in support of a dynamic executive

  • Ability to work collaboratively within a two-EA partnership structure

  • Exceptional organizational skills with the ability to anticipate needs several steps ahead

  • Polished, confident communication skills and the ability to interact with senior stakeholders

  • High degree of discretion and professionalism when handling confidential matters

  • Strong judgment, resilience, and the ability to remain calm under pressure

HOURS:

Monday through Friday, in-office in Midtown Manhattan, with flexibility required based on the executive’s schedule.

SALARY:

$250K–$500K total compensation (base + bonus) + 100% covered health, dental, and vision + 401(k) with 4% match + unlimited PTO + additional comprehensive benefits.
